Starting point
A construction business may manage dozens of suppliers, hundreds of orders and a constant stream of delivery notes and invoices across several live sites. When that work is split between inboxes, paper and spreadsheets, nobody has a reliable view of remaining budget.
The problem
- Quote analysis takes hours for every supplier round.
- Delivery-to-invoice matching happens manually and discrepancies surface too late.
- Live margin is unknown until the end of a project.
The solution
AI-assisted quote comparison
PDF and spreadsheet quotes are extracted and normalised with Claude, then compared side by side across suppliers.
Orders, deliveries and invoices together
One order can receive several partial deliveries. Delivery notes and invoices are reconciled in the same workflow, with quantity, price and reference discrepancies highlighted early.
Live project margin
Each site gets a current view of budget, committed spend, delivered value, invoiced value and forecast margin.
Mobile reception
The Expo application supports barcode scans, delivery-note photos, anomalies and signatures from the field, with Supabase synchronisation.
Results
- Multiple active projects managed in production.
- Invoice disputes detected before payment.
- Quote-analysis time reduced substantially for participating businesses.
- A web and mobile architecture that remains operationally light.
